Upgrading from Visual Personnel

If you are a Visual Personnel user, you can very easily upgrade to Personnel

Manager. The upgrade process will convert all your databases for use with

Personnel Manager.

There are two stages in upgrading from Visual Personnel:

  1. Install Personnel Manager on all the required computers.
  2. If you are upgrading to a Multi-User version of Personnel Manager, install the Personnel Manager database on a network file server and install the Personnel Manager program files on all required workstations.

  3. Run the Upgrade Wizard.

The Upgrade Wizard converts your Visual Personnel databases for use with Personnel Manager.

Important Notes

Due to enhancements in Personnel Manager, some items are not converted and may therefore require attention before normal use of the converted database.

• The Wizard does not convert any reports, graphs, templates (letter, import, or

export), or queries that you created in Visual Personnel. Also, the Wizard does not

transfer any attached documents.

• The Wizard transfers any user-defined fields to the database, but no display labels

or edit controls are placed on the Employee Details screen. The fields are given the

name of the caption used in Visual Personnel; for example, if the caption of the field

was "Shirt Size" in Visual Personnel, the field name in Personnel Manager is

"ShirtSize".

• The Wizard does not convert the Demonstration database. Use Personnel

Manager’s Example database instead.

• Due to enhancements to the absence allowances in Personnel Manager, the

Wizard does not convert absence allowances. To ease the task of creating new

allowances, Personnel Manager enables you to assign absence allowances to

multiple employees or to all employees in one step.

 

 

Running the Personnel Manager Upgrade Wizard

Notes:

• Both Personnel Manager and Visual Personnel must be available and working

before you can convert a database successfully.

• The upgrade process may be lengthy. The length of time depends on the amount of

data to be converted, the performance of your computer, and if you are on a

network, the network speed and amount of traffic. Please be patient.

To run the Upgrade Wizard:

  1. If you haven’t already done so, install Personnel Manager on all required
  2. workstations. Check that you can start and run Personnel Manager on

    each workstation.

  3. Ensure that all users are logged off. Exit Visual Personnel and Personnel

Manager. Make sure that the Diary Reminder is not running.

3. Start the Personnel Manager Upgrade Wizard.

• From the Windows task bar, click Start, then Run.

• Type c:\Program Files\PersMan\VBTUpgrade.exe and click OK.

The Upgrade Wizard starts and guides you through the upgrade process.

4. First click the Notes button to read about some important considerations before

you proceed.

5. Click the Start button to start converting your databases.

A progress meter shows you the status as each conversion proceeds.

6. When the conversion is complete, click Finish.

Preparing Your Converted Database for Use

There are several tasks you should complete in Personnel Manager before

normal use of the database.

• Recreate any custom reports, graphs, templates, and queries.

• Reattach pertinent documents.

• Recreate absence allowances and assign them to employees. This is a simple

two-step process. First, use the Absence Allowance Wizard to create each category

of allowance in your organisation — not just, but allowances for sickness, training,

and so on. Then use the Wizard to simultaneously assign each allowance to a set of

employees defined by a group or filter or to all employees.

• Customise the Employee Details screen if it previously contained user defined

fields. To add these fields and their associated labels and edit checks, use the

Screen Designer.

 

 

 

• Because the security features in Personnel Manager have been greatly enhanced,

you will need to set up the security privileges for your users. User records are

automatically transferred from Visual Personnel but you will need to set up the

additional features:

• Limiting access to functions and the various Personnel Manager modules.

• Limiting access to employee screens such as pay details.

• Limiting access to employee fields such as pay or home telephone number.

• Limiting the employees which a user can work on based on their department, job

title or division amongst other fields.
